Who is responsible. Optivo is the trading name of Andy Jackson, who operates as a sole trader and is the data controller for the information held in this hub. For anything in this notice, email andy@andyjackson.com.
This is a working portal for firms Optivo is engaged by, so most of what it holds is about your firm rather than about individuals. It includes what you enter into the Fact Find, the Outcome Planner and the Staff Diagnostic, the deliverables produced from those, and your contact details as the person we are working with.
Where a diagnostic asks about your team, we hold what you choose to write — which may include named individuals and your assessment of their role or performance. Please keep that to what is necessary for the work, and tell your team it is being recorded, because they have the same rights over it that you do.
This is the part worth reading properly. When a deliverable is generated, the inputs you have given — the fact find, the outcome planner and the staff diagnostic — are sent to Anthropic's Claude models, which draft the document that comes back to you. Anthropic processes the content to produce that output and does not use it to train its models. If you would rather your inputs were not sent to an AI service, say so and the work will be done without it.
To carry out the work you have engaged Optivo to do. The lawful basis is the contract between us, and legitimate interests where the information concerns people in your firm rather than you personally — balanced against the fact that it is ordinary business information used only for the engagement.
No one else. Your information is never sold and never shared for anyone's marketing.
Your responses and deliverables are kept for the length of the engagement and for two years afterwards, so the work can be picked back up. Ask for it to be removed sooner and it will be.
You can ask for a copy of what is held about you, ask for it to be corrected or deleted, object to how it is used, or ask for it in a portable form. Email andy@andyjackson.com and it will be dealt with within a month. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk.
The hub is reached by a private link issued to you. Treat that link as a credential and do not forward it outside your firm. Tell us if it needs replacing and a new one will be issued.
